1. What do I do when an employee requests or goes on a leave of absence from work?
As soon as you become aware of an employee needing a leave of absence of any kind, you should contact your Landrum Professional Human Resources Manager. They will assist you in determining whether any applicable laws such as The Family & Medical Leave Act apply to the leave and what options you have. Landrum Professional will then complete all the legally required written notification to the employee, obtain proper documentation and track the leave of absence.
Employees may also request a personal leave of absence for non-FMLA issues. Employers have considerable discretion setting terms and conditions of non-FMLA leave. Employees requesting personal leaves of absence should be referred to the Personal Leave of Absence section of the Landrum Professional Employee Handbook.
2. What is the process for drug testing and what happens if a new employee has a positive or inconclusive drug test and needs further testing?
All new employees must complete a drug screening (normally by urinalysis) during the pre-employment hiring process. The initial screening is conducted at the Landrum Professional office or at the offices of designated medical laboratories. If the initial test does not yield conclusive results, the employee will be required to undergo a confirmation drug test by a certified laboratory. The certified laboratory will analyze the sample and submit the results to a Medical Review Officer who will contact the employee, gather pertinent information and then communicate the final results to Landrum Professional. During this process, a Landrum Professional Human Resources Manager will be in contact with the client to keep them informed of the status and process results. Information about positive drug tests cannot be communicated to our client and employee until after the Medical Review Officer has contacted Landrum Professional with final results.
3. How do I order more “new employee packets”?

Let us know if you need packets for outside the state of Florida. Or, you can download them online at the Forms Center.
4. Do I have to give my employees breaks?
Current Federal Wage & Hour laws do NOT require employers to give employees breaks, unless a minor under 18 is involved. Any breaks, paid or unpaid, are given at the discretion of the employer. Please contact your Human Resources Manager for more information on breaks/lunches and developing policies to ensure fair and consistent treatment of all employees. Special rules do apply to employees under the age of 18. Your Landrum Professional Human Resources Manager can assist you with those requirements.
5. What if I want to start a random drug- testing program?
Random drug testing programs can be implemented at the discretion of the employer, although employees must be given a 60-day advance notice in writing about the implementation of this program. Landrum Professional’s Drug-Free Workplace staff will coordinate and keep required records of the random drug- testing program. Contact our Drug-Free Workplace Department to discuss this process.
6. What identification must my employees have to begin employment with Landrum Professional?
The Immigration & Naturalization Service requires that all employees submit documentation to verify their citizenship or eligibility to work in the United States within their first three workdays. Employees who complete or personally submit their paperwork at the Landrum Professional office will have their documentation reviewed by our staff. For employees who complete and submit their paperwork at client locations, the client’s payroll representative or office manager is responsible for certifying the Federal I-9 form and verifying that the employee is eligible to work in the United States.
7. If my new employee previously worked for Landrum Professional, do they have to fill out the same paperwork again and have another drug test?
Due to changing policies and paperwork, unless the employee has worked for your company within the last 12 months, the employee will need to complete a new employee packet and be scheduled for a drug screening. A returning employee who has completed paperwork within the last 12 months will need to complete a rehire packet. Any questions about this process should be directed to your Landrum Professional Human Resources Manager.
8. My employee has given me a form to verify his employment dates and wages, what should I do with it?
An employment or wage verification form should be sent to Landrum Professional, attention: Heather Webb. Landrum Professional will complete and return the forms to the source. Landrum Professional must have the written authorization of the employee to release any information about employment/wages.
9. When can I send my new employee to Landrum Professional to complete their drug test and employee paperwork?
To ensure efficient and timely service to your employees working in the Pensacola area, please contact Landrum Professional Human Resources, (850) 477-7022, to schedule an appointment for your new employee to visit our office. During their appointment, they will complete necessary payroll paperwork, watch an Landrum Professional orientation video and submit to a drug screening by urinalysis. These appointments can usually be made within 24 hours of your call and are typically about 45 minutes to 1 hour in duration. Clients with employees working outside of the Pensacola area should contact your Landrum Professional Human Resources Manager to coordinate employee paperwork and drug screening. In order for our clients and employees to be protected by workers’ compensation and to be legally eligible for employment, all paperwork and drug screening should be completed and submitted to Landrum Professional before the employee actually begins work.
10. Does Landrum Professional provide my company with employment posters?
Yes. During the initial client orientation, you will be provided with the necessary Federal and State posters that are required by law. In addition, Landrum Professional will notify you when new posting requirements come into effect. If at any time your posters are lost or destroyed, call Landrum Professional immediately for a replacement.
11. Should I provide a reference for a former employee?
Landrum Professional recommends that its clients refer all reference calls to Landrum Professional’s Human Resources Department. Landrum Professional’s policy is to provide only neutral references on former employees. We will confirm employment dates and position. Negative discussion about a former employee could potentially result in a claim for defamation or retaliation. Supervisors and employees should be reminded about this policy and advised to avoid comment and to contact Landrum Professional upon receipt of any reference requests. Exceptions to this policy may be appropriate under certain circumstances, particularly if the former employee has the potential to pose a risk of harm to employees of the potential new employer. Consult with your Landrum Professional Human Resources Manager prior to giving any such information to prospective employers or others seeking information about current or former employees.
12. Does Landrum Professional provide criminal background checks and/or motor vehicle checks on my employees?
Landrum Professional is able to run criminal background checks and motor vehicle checks on employees for an additional charge. We strongly recommend that all employers utilize this service for the protection of your company, your employees and your customers. Landrum Professional can also provide employment assessments, credit checks, education verification and other important background information. Please contact your Landrum Professional Human Resources Manager to obtain more information on these services.
13. Does Landrum Professional offer any seminars for managers and supervisors?
One of the most important services Landrum Professional offers is the professional training seminars developed for our clients, their supervisors, and employees. Topics include, but are not limited to: Documenting Employee Discipline; Legal and Effective Interviewing and Hiring; Employee Retention; Workplace Diversity; Hazard Communication; Forklift Safety; and Fall Protection. 14. Does Landrum Professional offer pre-employment testing and/or assessment instruments for existing employees?
We have partnered with Profiles International, Inc. to offer a variety of assessment tools to our clients and their employees. Landrum Staffing Services also has an extensive set of skills tests for a variety of positions. 15. I need a temporary employee to work in my office. Does Landrum Professional place temporary workers or provide recruiting services?
No, Landrum Professional is not a staffing or recruiting agency. However, our sister company is Landrum Staffing and they are able to provide temporary workers and recruiting assistance for the Escambia - Santa Rosa County area. Their number is 476-5100.
16. Can I hire someone who is under 18 years old?
A company must follow State and Federal Child Labor guidelines with regard to work hours, occupation, and breaks for minors. Please contact your Landrum Professional Human Resources Manager for more information.
17. Do I have to pay out vacation and/or sick leave balances when an employee leaves the company?
In the absence of a contractual agreement to the contrary, you are not required by law to pay out unused vacation and/or sick leave balances. However, you should establish a company policy that addresses this issue and consistently adhere to it. Please contact your Landrum Professional Human Resources Manager if you need assistance.
18. How do I notify Landrum Professional that an employee is no longer working for my company?
Please complete a separation notice and fax it to our Human Resources Department along with any supporting documentation. Please contact your Human Resources Manager if you need assistance with any employee counselings and/or termination discussions.
19. Can Landrum Professional assist with the development of job descriptions and performance evaluations?
Your Landrum Professional Human Resources Manager will be able to assist you with this information and provide samples to you upon request.
20. What should I do if my employee has a name or address change?
If an employee has an address change, please have the employee submit the request in writing so we can update our files. If the employee has a name
change, we will need the request in writing along with a copy of their social security card reflecting the new name. Prompt notice of these changes is
particularly important to ensure that employees timely receive their W-2 forms from Landrum Professional.
21. Does Landrum Professional provide computer access to employee information?
Our Access Landrum Professional service provides internet access for clients and employees to look up important employee data and payroll information.
