Description:
Seasoned, high-energy Contracts Administrator to take ownership of the company’s contract administration process. This person is responsible for supporting the sales and recruiting team. Acts as a liaison with experts, recruiters, account managers and clients in ensuring appropriate contracting is in place.
ESSENTIAL DUTIES:
- Coordination and construction of contracts from development through to project completion. Monitors contracts and ensures conformity to standard contracting procedures, follows instructions regarding particulars of contracting parties, etc. Assists in negotiations and contract amendments, including communicating with experts and clients, revising contracts as necessary, and manages all aspects of contracting process to completion. Maintain updated contract addendum language.
- Entering and maintaining client contact information into a proprietary database
- Use of Excel and QuickBooks in compiling statistics and preparing retainer invoicing
- Preparation of presentations to clients. This entails proofing of summaries, resumes and other text; preparing sections of presentation and combining into pdf form. This includes working with and converting e-fax and pdf documents to Word documents and vice versa; familiarity with OmnipagePro and extensive knowledge of Adobe Acrobat 9 required
- Providing general administrative support to company principals and key account professionals. This includes scanning, copying, filing, faxing, answering telephones and any special projects which may arise
SKILLS AND EXPERIENCE REQUIRED:
- Experience with contracting procedures, negotiations, standard business contracting terms, etc. required
- Typing speed of 65+ keywords per minute
- Must be extremely accurate and detail oriented
- Proven competency in grammar and spelling, along with excellent written and verbal communication skills
- Contact management database input experience (Access, FM Pro, etc.)
- Proficiency in a Microsoft Office environment (Word/Excel/PowerPoint)
- Ability to manage multiple tasks, priorities and deadlines
- Basic knowledge of QuickBooks
EDUCATION/EXPERIENCE REQUIRED:
Any combination of education and experience that would provide the required skill and knowledge for successful performance would be qualifying. Typical qualifications and skills would be:
- Five + years in contract administration; working experience in complex contracts
- Experience in office and executive administration in a fast-paced environment
- Law/consulting firm administration, a plus
- Proficiency in a Microsoft Office environment (Word/Excel/PowerPoint), required
